How it Works

Procure deals with both publishing tenders to receive proposals and also allow users to submit proposals to other users' procurement requests.    The published Procure Requests, Offers made, Successful, and Declined transactions can be monitored under Procures & Offers.

Promote is an interactive business lead-generating function of BlueProc.  Here a company publishes its competency and gets "Interested" requests from other business owners. Here the users can generate the lead and get prequalified to provide services, solutions, and/or Products.
 
 
Registration
 
To publish a procurement request to get connect with suppliers or to publish promotions to reach buyers, one must register in BlueProc. The platform requests minimum information which includes first name, last name, username, company name, industry, and valid email ID.
 
Verifications
Verify to become a trusted partner
Email:  To complete the registration of a new account, the users must validate the email ID by clicking the link sent from the email connect@blueproc.com under the subject 'BlueProc Signup verification mail' or ’BlueProc Reverification Mail'. If you did not receive the email, check your spam folder, or check that you entered the correct email address or add the email connect@blueproc.com to your address book before you register. After the email verification, users able to edit the profile, upload profile pictures, company logo, or brand name, can verify the phone numbers, access all features to manage your procurements and promotions.  If you think you have received a suspicious email, do not edit the contents or subject line. Please forward the original email to us at secure@blueproc.com and delete it from your inbox right away.

Phone:  After the email verification, the user can log in Blueproc account. To verify the phone number, go to the profile or dashboard from the main menu. You will find the 'edit profile' option in the web app or 'gear' button in Android or in iOS apps.  Go to the verification section and 'add your mobile number'. You will receive the SMS within three minutes, which you need to input to validate your phone number. If you did not receive the SMS, please check that you entered the correct mobile number or the entered mobile number is already registered in BlueProc or try again. User has the option to switch on or off to make your number visible to other users and allow users to call you.
 
Facebook: In the web app you have the option to verify your Facebook account, next to the phone verification. Unfortunately, this option is not available in Android and iOS apps.

Completing the Registration
​
Profile picture: From the profile page user have the option to upload the profile picture.
 
Logo: Before publishing a listing either in Procure or on Promote, the user must upload the company or business logo or brand image. Which will be reflected in your procure listings.
​
About us: The option to provide a brief description of your company or business. You can feed maximin 60 words
​
Additional details: The additional information will be added by selecting the edit profile page. Users will be allowed to publish in Procure or in Promote only after the updating of the required details on the profile page. If the user did not update the details, there should be an alert indicating to update the details on the profile page.
Listing View Page

The listing view page of published Procure and Promote shows details like Company name, Industry, About us,  Supply Type, Publisher details, number of views, likes, comments, publishers locations, and sharing options to share via emails, or in social mediaUsers can view the publisher's profile by clicking on the profile picture. It also has the option to 'report the listings' of unethical publishes.

In the procure listing view page, users can also see the prices, date, price, and publisher details. Users can download additional details which are seen under Download Details, users can make an offer as well as send proposals.

The Promote listing view page has the Interested and Enquiry buttons to start the conversations.

Making Offers
​
Procure listing viewing page has three functional buttons, are Download Details, Make an offer, and Send Proposal.  While publishing a procurement request, the buyers/publishers can upload five documents to provide additional details, which can be downloaded using Download Details. The requesters/the suppliers can initiate the offering processes by sending an offer price and a short message using the Make an Offer function. Suppliers can only send the proposal using Send Proposal after the supplier sent offers reviewed by the buyer and prompted the Request Proposal.
 
Promote listing viewing page has two functional buttons Interested and Enquiry to make the promotions more interactive, to generate the leads, and to get prequalified by the buyers of the service, solutions, or products promoted.

Procures & Offers 

Procure
Procurement as a strategic contributor to enterprise growth and performance. The Procure & Offers function is to publish procurement requirements and to get proposals and quotes. This function allows companies and business owners to screen the offers and shortlists the suppliers. Buyers could ease the suppliers' qualifications, accelerate collaboration, meet the target prices, and grow the business and profit.

Publishing a request is made easy and simple.
Step 1: Start. In the web app, Publish a procurement request by clicking on the "Publish" button to publish a procurement. In Android and iOS apps select the "handshake" button to publish a procurement request and by selecting Procure.

Step 2: Detailing the procure request. Select the right segment and sector. Give the suitable supply title. Precisely and shortly describe your request. Key keywords that describe your procurement request to catch supplier attention. Select validly (Max 90 days). Optionally, the publisher could upload five documents like RFQ, Supply conditions, Terms of supply, NDA and so, (.docs,.xls, .pdf, .ppt, .txt). Note, when uploading the documents, select 'Documents' together and upload. To add the procure price, the publisher has the option to choose 'Fixed-price' bid, can give 'Price range', or the buyer, the publishers could ask the supplier to offer the price by choosing 'Propose Price'.
 
Step 3: Defining the Location. There are three location fields available to choose from. The publisher has the option to select the procuring location and the supplier location (the listing visible location). My location is the location where the listing is being published, e.g. company location. By opting for the listing's visible location, the publisher can decide the audience, the suppliers for the published procure listings. The audience (the suppliers) would be defined in three ways. This means The publisher, (the buyer) can define that the procure listing can be visible worldwide or some particular location by including or excluding particular locations.

i) Include Location: Buyer can set the visibility of listing to the specified location by selecting the 'Include location' checkbox and by selecting a country or few countries. For example, if the buyer is set visibility (Include) to India, Australia then the published procure listing will visible to that region only.

ii) Excluding Location: Buyer can set, not to display the procure listing in one or a few particular locations by selecting 'Exclude Location' and by selecting a country or few countries. For example, if the buyer is set invisibility (Exclude) to India, Australia then the published listing will not display for that region and will display for other regions.

iii) Worldwide: To make the procure listing visible worldwide, do not select include location and exclude location checkboxes.
​
Step 4: Preview and Publish. Preview the procure request on the right side of the screen in the web app or by clicking the 'Preview' button in Android and iOS apps. Review and check the inputs before publishing. Publishers always have the option to edit later.

Procurement Negotiations
Procures

Buyers can check the offers made by the supplier under Procures. When a  supplier made an offer to the buyer published a procurement request, the request will be reflected with active respond buttons to process the request, which are  'Request Proposal, Counter/Reply, Accept, Decline.
​
Status and Requesting Proposals
1. Reply Pending: Till the buyer took an action on received offers for the published procurement request, the offer remains as Reply Pending. 
​
2. Proposal in Review: The status will turn into  Proposal in Review after successfully requesting the proposal from the supplier. When requesting the proposal, the Buyer could upload two documents at once (Example, Scope of Work, RFQ). Once after receiving the proposal from the Supplier,  the buyer can review and further negotiate or ask for more details by prompting Counter/Reply. The transactions will repeats until the Buyer/Publisher Accepts, Declines, or till the listing expires.

4. Deal Done: Many suppliers can send the offer request. The buyers can accept up to three offers for a published procure request makes the status Deal Done. If there is only one offer request that is accepted by the Buyer and if the listing crossed the expiry date then the status goes Deal Done. Once the product is marked as Deal Done then the other offer requests which are not accepted/declined should be marked as “Deal Done” and it cannot be accepted/declined.
 
5. Expired: If the listed procure requests expired without a deal or acceptance of any offers, then the status turns to Expired
 
Accepting the offers
The buyer can accept the supplier proposals or offers by selecting the Accept button. The accepted offers will then move to Success.

Declining the offers
The buyer can decline the supplier proposals or offers by selecting the Decline button. The declined offers will then move to Declined.

Viewing offers History 

The buyer can view the proposal history by selecting the View button.

Supplier or Requester making the offer to Buyer or Publisher's procurements in BlueProc, by triggering  'Make an Offer' from the listing view page. The offers made by the supplier using Make an Offer are tracked under Offers Made under  Procures & Offers.  All the procuring, the buying requests are stored here till the transaction gets accepted or declined. Suppliers can track proposal transactions, communication, and negotiations of the deals with Buyers or companies to procure services, solutions, or products. If a request Expired or Deal Done to other users, the request histories are viewed at My Procure. 

 

By selecting the offer-made item under My Procure, the user could quickly check the  Name of the procure, Status, Publisher/ Buyer name, Procure initiated date, Offer Value, Send Proposal, Offer Canceling and View history options. Which also has the link to Buyer and to the Listings.

Status and Sending Proposals

1. Waiting for Response: After sending the offer the supplier can proceed further according to the status. Suppliers can send the proposal using Send Proposal only after the offers reviewed by the buyer and prompted the Request Proposal.  Till then the status will show as Waiting for Response, and Send Proposal button is inactive to send further proposals.

2. Proposal Requested:  Once the Buyer/Publisher promoted Request Proposal, the status at the supplier will turn to Proposal Requested. Send Proposal will activate to send the requested details upon Buyer's requests. While sending the proposals, the supplier can upload up to five documents at once. (Example: Technical Proposal, Commercial Proposal, NDA)

3. Proposal in Review: After submitting the proposal by the supplier, the status will turn to Proposal in Review. If the buyer/the publisher further negotiates by prompting Counter/Reply the supplier will get the notification and the status tun to Proposal Requested. Send Proposal will activate to send the requested details upon Buyer's requests.

4. Deal Done: If the offer accepted by the buyer or the deal has gone to other users the status turns to Deal Done. Once the product is marked as Deal Done then the offer requests which are not accepted/declined will be marked as Deal Done and it does not allow to send proposals or cancel the offers.

 

5. Expired: If the listed procure requests expired without a deal or acceptance of any offers, then the status turns to Expired

The process continues until the supplier's offer accepted or declined or the request expired or the deal gone to another supplier.

Withdrawing the Offers 

The supplier can anytime withdraw the offers made by pressing the Cancel button

 

Viewing Proposal History 

The supplier can view the proposal history by selecting the View button.

Offer Made Status

Success

​

Under Success, the user can find the Successful transaction of both My Procure and Offers Received. The status will turn to  Accepted. 

 

The user could trace the transaction history by selecting a successful item from the list. The user can view the transaction history by selecting View, where the user can trace all the communications, received, and sent documents (Uploads) to their counterparts. The 'Intimate Conversation' button is active to communicate with buyers or suppliers.

Users have the option to Review the transaction and send feedback to their counterparts.

Under Declined, the user can find the Declined transaction of both My Procure and Offers Received. The status will turn to  Declined. 

 

The user could trace the transaction history by selecting declined offers from the list. The user can view the transaction history by selecting View, where the user can trace all the communications, received, and sent documents (Uploads) to their counterparts.

Users can also Review the transaction and send feedback to their counterparts.

Promote
Promote is the place where the companies and business owners have the option to publish the promotional banners of competence to generate quality leads.  The place where technology suppliers promoted to interact with buyers of the published competencies. The function to accelerate the collaboration and get prequalified by the buyers.

Promote your competencies.  Describe your promotion. Upload only quality promotional banners!

Step 1: Start. On the web app, publish a promotion by selecting the "Publish" button and select Promote. In Android and iOS apps select the "handshake" button to publish a promotion and by selecting Promote.

Step 2: Detailing the promotion. Keep ready a quality promotional banner or an image. Upload the image, select the segment and sector. Give the best and suitable title. Precisely and shortly describe your promotions. Key in three #Tags to shortly describe the competencies, for example, #IoT #Cybersecurity. No need to select validity, promotions will expire in 60 days. Expired promotions will be displayed under a tag Archived. 
 
Step 3: Defining the Location. There are three location fields available to choose from. The publisher has the option to select the promotion location and the promotion's intended locations. My location is the location where the promotions are published, e.g. company location. By opting for the listing's visible location, the publisher can decide the audience for the promotions. The audience would be defined in three ways, which means the publisher, can define that the promotions can be visible worldwide or only in selected locations

i) Include Location: Users can set the visibility for the published promotion to the specified location by selecting the 'Include location' checkbox and by selecting a country or few countries. For example, if the user is set visibility (Include) to India, Australia then the promotions will visible to that region only.

ii) Excluding Location: Users can choose not to display the promotions in one or a few locations by selecting 'Exclude Location' and by selecting a country or few countries. For example, if the publisher is set invisibility (Exclude) to India, Australia then the published listing will not display for that region and will display for other regions.

iii) Worldwide: To make the procure listing visible worldwide, do not select include location and exclude location checkboxes.

Step 4: Review and Publish. Review the correctness of the promotion and check the inputs before publishing. Publishers always have the option to edit later.

Interactive Promotions functions to generate and qualify the leads
Incoming

Promote listing view page has two interactive buttons Interested and Enquiry to get the leads, and to initiate conversations. Clicking on the Interested button will allow the requester to send a short message to connect with the promoter. The requests are routed to the Incoming Request of the promoter under Promotions & Interests. The promoters can view the requesters' credibility and can decide the lead by Accept the lead to get Enquiries Or Decline the requests. Promoters will get as many as Interested requests till the promotion get expires.

The requester offered Interested requests on promotional listings are tracked under Outgoing Request. The triggered Interests will be Outgoing till the request gets Accepted or Declined or Expired. The requester has the option to Cancel the Interested anytime.

Success

All the accepted Interested requests will move to Success. This means users accepted Interested Incoming requests and users sent Outgoing requests. For both types of acceptance, the Enquiry button activates to start the conversation. To track the conversation, this is advisable to start enquiring after the acceptance of the Interested request and from the Success tab. After the acceptance, the Enquiry button activates also in listing view pages to start conversations.

Declined
All the failed or declined Interested requests will move to the Declined tab. That means the user declined Incoming Interested requests and users Outgoing Interested requests on the other users' promotional listings. This will restrict further communications.
